Workspaces
Team workspaces, roles, and approvals
A workspace is a shared space for prompts with three roles (owner, editor, viewer), a review status on each prompt, an activity feed, and notifications. This guide is for the workspace owner and members. For an overview, see HyperPrompt for teams.

Viewers who open a workspace prompt see Review prompt and a disabled Viewer access button.
1. Create the workspace (owner)
- Subscribe to Team on the pricing page and choose the number of Workspace seats (3 to 25).
- Open Teams. In New workspace, enter a Name (up to 100 characters) and select Create.
Expected result: Workspace created. The workspace appears under Your workspace, and the header shows “Your role: owner”. The New workspace card disappears because the Team plan includes one workspace.
2. Invite collaborators (owner)
- In Invite collaborator, enter the person’s email address and choose Editor or Viewer.
- Select Invite. HyperPrompt emails them a link.
Expected result: Invitation sent. The person appears under Members as “Pending editor invitation” or “Pending viewer invitation” with an expiry date. Invitations expire after 7 days. Inviting the same email again replaces the pending invitation.
How seats are counted
Members, including the owner, plus pending, unexpired invitations can never exceed your purchased seats. If every seat is used or pending, inviting fails with “All purchased workspace seats are assigned or pending”. Remove a member, wait for an invitation to expire, or add seats.
3. Accept an invitation (invited member)
- Open the link in the invitation email. The page is titled Workspace invitation.
- If you are signed out, choose Sign in or Create account. Use the same email address the invitation was sent to.
- Select Accept invitation.
Expected result: “You joined workspace name.” Workspace prompts now appear in your Prompts Library, labelled with the workspace name and review status. Other members get a notification that you joined.
Members without their own Team plan
The member list and invitation tools on the Teams page are shown only to accounts on the Team plan. Members on Free or Pro see a Workspaces require Team message there. They work with shared prompts from the Library and the prompt editor, and they still receive notifications.
4. Add prompts and use review status
- Open a prompt with Edit & versions from the Library.
- In Workspace, pick the workspace instead of Personal. Only workspaces where you are an owner or editor are listed.
- Set Review status: Draft, Ready for review, or (owner only) Approved.
- Select Save new version.
What changes when a prompt moves into a workspace: it becomes private and cannot be made public, it leaves your personal folder (the Personal folder selector is disabled), and other members are notified of the update.
Approval rules
- Only the owner can save a prompt as Approved. Approving a prompt records a “prompt approved” activity and notifies members.
- Restoring an earlier version of an approved workspace prompt sets it back to “in review”.
- When an editor saves changes to a prompt that is currently Approved, they must first change Review status to Draft or Ready for review. Otherwise the save fails with “Only the workspace owner can approve prompts”.
5. Follow activity, comments, and notifications
- Recent activity on the Teams page lists the latest 50 events: workspace created, prompt created, prompt updated, prompt approved, comment created, and member joined.
- Every event except workspace creation also creates a notification for each other member. Open them from the bell icon in the app header or at
/app/notifications, and use Mark all read when you are done. - Comments on workspace prompts are created with
POST /api/prompts/{id}/comments(see the API reference). Any member, including viewers, can comment. The private prompt editor does not show a comment panel yet.
6. Manage members, ownership, and deletion (owner)
Change a role or remove a member
In Members, use the role dropdown next to a member to switch between Editor and Viewer, or the trash icon to remove them (confirm “Remove this member from the workspace?”). Members can remove themselves the same way.
Transfer ownership
- Select Transfer ownership next to the member.
- Type the exact workspace name when prompted.
The new owner must have their own active Team plan, must not already own a workspace, and must have enough seats for current members plus pending invitations. You become an editor. Errors: “The new owner needs an active Team plan and no other owned workspace” or “The new owner’s Team plan does not have enough seats”.
Delete the workspace
Select Delete workspace and type the workspace name. This permanently deletes the workspace, its prompts, and its discussions. Export first if you need a copy (see Import and export).
Troubleshooting
- “Team workspaces require the Team plan” or “An active Team plan is required to invite members”: the owner’s account is not on an active Team plan.
- “The Team plan currently includes one workspace”: you already own a workspace.
- “This person is already a member”: no invitation is needed.
- “Sign in as email to accept this invitation”: you are signed in with a different email address. Sign out, then sign in with the invited one.
- “Invitation is invalid or expired”: ask the owner to invite you again. Links expire after 7 days and work once.
- “This workspace has no available seats” or “This workspace no longer has an active Team plan”: the owner needs to add seats or renew Team.
- “Too many invitations; try again later” (more than 20 in an hour) or “Too many workspaces created; try again later”: wait and retry.
Limitations
- One workspace per Team plan owner. Seats range from 3 to 25.
- Only prompts can be shared. Rules, skills, MCP entries, context snippets, and evaluation suites stay personal.
- Personal folders do not apply inside a workspace.
- Renaming the workspace is available only through the API (
PATCH /api/workspaces/{id}).
